Who we are

This website, admincity.com.gh, is run by Admincity Holdings, trading as Admincity Group of Companies. The group includes Admintelecom Ghana, Admintelecom Academy and Admincity Agency. We are based at East Legon, Adjiringanor, opposite Allied Petrol Station (Trasaco Street), Accra, Ghana.

We follow Ghana's Data Protection Act, 2012 (Act 843). When we say "we" or "us" in this notice, we mean Admincity Holdings and the group companies that deal with your enquiry.

What we collect, and why

We collect only what you choose to give us on our forms, and only to deal with the request you have made.

• Contact form: your name, email address, optional phone number, the company your enquiry is about, a subject and your message. We use these to reply to you.
• Academy application form: your name, email address, phone number, optional city or town, education level, start date and telecom experience, the course you choose, an optional message and an optional CV. We use these to consider your application and to contact you about it.
• Admincity Agency, hire talent form: your name, your organisation, email address, phone number, the roles you need, and optional details about numbers, location, timing and a message. We use these to reply to your request.
• Admincity Agency, register your CV form: your name, email address, phone number, the work you are looking for, optional details about your location, experience and availability, an optional message and your CV. We use these to consider you for roles that match your experience, and to contact you about them. If we think you are a good match for a vacancy, we may share your details and CV with the employer concerned.
• WhatsApp: if you choose to message us on WhatsApp, we see your phone number, your name on WhatsApp and what you send us.

On the Academy and Agency forms you are asked to tick a box to agree that we may use your details for this purpose. You may withdraw that agreement at any time (see "Your rights" below).

Please do not send us information we do not need, such as identity card numbers, bank details or health information, unless we ask for it.

How your information is handled

This website has no database and no user accounts. When you send a form, the website turns it into an email and sends it to the mailbox of the team that deals with it. The website does not keep a copy of your message or your CV. The copy that reaches us stays in our email, where only the staff who need it can read it.

This website is hosted by Infomaniak, a Swiss hosting provider, and our email also runs on Infomaniak's mail service. Infomaniak processes your information for us as our service provider.

Some of the services described below are run by companies outside Ghana. We use them only for the purposes explained here.

Who else sees it

We do not sell your information, and we do not use it for advertising. We share it only:

• with the staff of the group company that deals with your request;
• with our service providers, such as Infomaniak (hosting and email) and Google (reCAPTCHA, and Google Maps if you open the map);
• with an employer, if you registered with Admincity Agency and we put you forward for a role (see above); and
• where the law requires us to, for example when a court or authority asks.

Spam protection (Google reCAPTCHA)

To stop automated spam, our forms use Google reCAPTCHA. It checks whether the person using the form is real. To do this, reCAPTCHA reads some information from your browser and device, such as your IP address and how you interact with the page, and may use cookies or similar storage. Google receives this information and uses it under the Google Privacy Policy and Terms of Service. The check is only loaded on pages that have a form.

Cookies and tracking

This website does not set cookies, and it has no analytics, advertising or social media trackers. Your browser keeps a small temporary note, which is deleted when you close the tab, so the page transition does not play twice in a row. It is never sent to us.

The map on our contact page is not loaded until you choose to show it. When you do, Google Maps loads and may set cookies. If you open the WhatsApp button or a link to another website, that service's own privacy policy applies.

Like all web servers, our hosting provider records technical details of each visit, such as your IP address, the page you asked for and the time. This is used to keep the website secure and running, and is deleted by the provider after a period set by them.

How long we keep your information

We keep enquiries, applications and registrations only for as long as we need them for the purpose you gave them for: for example, while we deal with your enquiry, your application, or while we look for roles that match your experience. After that we delete them. You can ask us to delete yours sooner at any time.

How we protect it

• The website works over an encrypted (HTTPS) connection.
• Forms are protected against spam and abuse, and limit how many messages can be sent in a short time.
• Uploaded CVs are checked, and only PDF and Word (.docx) files are accepted.
• Only staff who need your information to deal with your request can read it.

No system is completely secure, so please do not send us anything you would not want us to have.

Your rights

Under the Data Protection Act, 2012, you can ask us to:

• tell you what personal information we hold about you and give you a copy;
• correct information that is wrong or out of date;
• delete your information, or stop using it, where we no longer need it; and
• stop using your information if you object, or if you withdraw the agreement you gave us.

To do any of these, email info@admincity.com.gh or call +233 30 251 8798. Tell us which form you used and the email address you used on it, so that we can find your information. We may need to confirm that you are the person concerned before we share or change anything.

If you are not happy with how we handle your information, please tell us first so that we can put it right. You also have the right to complain to Ghana's Data Protection Commission.

Young people

Our forms are meant for adults. If you are under 18, please ask a parent or guardian to send the form for you or to contact us.

Changes to this notice

If we change how we handle your information, we will update this page and the date at the top.
